First-Time Users

Zoom is FREE and easy to use, and you don't even need to sign up for an account to join a meeting!

Equipment

Headphones - Please use headphones to minimize audio feedback. 
Microphone or Headset - Most computers have a built-in microphone that will pick up your voice.
Webcam (optional) - Most laptops have a built-in webcam. It is not necessary that you use the video feature if you do not have access to a webcam. 

Telephone (optional) - If you do not have the equipment above, or are not able to access a computer during the meeting time, you can join any Zoom meeting by phone. Follow the instructions below. 

Joining a Meeting by Computer

Please use headphones to minimize audio feedback. 

  1. Click the link in your invitation to open the meeting. (First time users will be prompted to download and run Zoom. Follow system commands to do so.)
  2. If system dialog appears, "Allow" system to open Zoom Meetings. 
  3. If prompted, enter your name. 
  4. Click "Join Audio Conference by Computer"
  5. Unmute your microphone and start your video unless otherwise directed by the meeting organizer. 

Joining a Meeting by Phone Call

If you do not have access to a computer, join the meeting by phone following the instructions included in your invitation e-mail:

  1. Dial any one of the phone numbers given.
  2. Enter the Meeting ID when prompted. 
  3. When prompted for your Participant ID, press # to skip. 
  4. Please identify yourself once you have joined the meeting. Other participants will see your phone number in place of your name. 
  5. Once you are in the meeting, dial *6 to mute and unmute yourself. Dial *9 to raise and lower your hand.

If you would prefer to watch the conference on your computer screen while speaking into the phone, join the the audio conference via phone call:

  1. Follow steps 1-3 of Joining a Meeting by Computer.
  2. Select the Phone Call tab of the pop-up window titled "Choose ONE of the audio conference options". 
  3. Dial any one of the given phone numbers and enter the Meeting ID and your Participant ID as prompted. 
  4. Once you are in the meeting, dial *6 to mute and unmute yourself. Dial *9 to raise and lower your hand.

The Zoom Window

Full Screen

Enter Full Screen mode by clicking the Full Screen icon (usually on the upper right), or double-click anywhere on the Zoom window. 

Exit Full Screen mode by pressing ESC on your keyboard, or double-click anywhere on the Zoom window.

Minimize

If you minimize the Zoom window, you will see a thumbnail video of the shared content screen on your desktop. Click the Exit Minimized Video icon to return to the larger meeting view. 

Lost the Meeting?

If you accidentally click away from the Zoom window, you can get back to the meeting by clicking the Zoom icon, then click Back to Meeting.

If you find yourself kicked out of the program altogether, simply re-enter the invitation URL in your browser to re-enter the meeting. 

The Task Bar

Reveal the taskbar by moving your mouse around the edges of the Zoom window. On most systems, the task bar is located at the bottom of the screen, though you may find it at the top of the screen or off to one side. You may need to move your mouse all the way off the edge of your visible screen to reveal the taskbar. 

 

 

Microphone, Video, Share Screen

Click the microphone icon to mute/unmute yourself. A red slash through the icon indicates that your voice is muted. 

Click the video camera icon to start and stop your video. A red slash through the icon indicates that your video is stopped. 

Please do not attempt to share your screen unless invited to do so. 

Participants

Participant List
The Participant icon will show you the list of participants.

Rename
If you need to change your display name, you can do so in the Participant window. Hover your mouse over your own name, and a blue "Rename" button will appear. Click the button and enter your new screen name. 

Raise Hand
Click "Raise Hand" to virtually raise your hand. A hand icon will appear next to your name when your hand is raised. You can "lower your hand" by clicking the button again. 

Chat

Click "Chat" to chat. Use the dropdown menu to select your recipients: 

  • Everyone - these messages will go to everyone in the meeting.
  • Send a private chat to the host or another meeting participant by selecting their name from the dropdown menu. 

Type your message and hit the "Enter" (or "Return") key to send it. 

Troubleshooting

Internet Connection

For best audio and video quality, use a high speed, hardwired Internet connection (Ethernet cable). If you find that your connection over Wi-Fi is too slow, try turning off your video to free up bandwidth. 

Audio

Can't hear? First, check the volume on your computer and your speakers or headphones. Make sure nothing is muted.

If you still can't hear the meeting, or if the sound is coming from the wrong speakers, change your Audio Settings within Zoom. 

  1. Open Audio Options using the up arrow next to the microphone icon in your Taskbar. 
  2. Click "Test Computer Mic & Speakers"
  3. Click "Test Speaker" to play a test sound. 
  4. If you cannot hear the test sound, select a different speaker from the dropdown menu. 
  5. If the tone is too loud or too quiet, move the volume slider to the desired level. 
  6. If you can hear some audio, but it is choppy or distorted, your connection speed may be too slow. Try using an ethernet cable connection instead of Wi-Fi. 

Microphone

  1. Open Audio Options using the up arrow next to the microphone icon in your Taskbar. 
  2. Click "Test Computer Mic & Speakers"
  3. Click "Test Mic" and follow the instructions given. Zoom will record you speaking for five seconds, then play back what was recorded. 
  4. If you do not hear your voice, select a different microphone from the dropdown menu. 
  5. If your voice is too loud or too quiet, adjust the volume slider. 

Video

If the video of the speaker is choppy or distorted, your connection speed may be too slow. Try using an ethernet cable connection instead of Wi-Fi. Turn off your video if you do not have the equipment for a hardwired Internet connection. 

To swap shared screen with speaker video or to change the size of the speaker video, move your mouse over the thumbnail video. Icons will appear allowing you to customize your viewing experience. Hover your mouse over each icon, and alt text will appear to tell you what each icon does. You can also click and drag to move the thumbnail video around. 

Select "Show thumbnail video" (the four small squares) to see all video participants at once. 

Shared Screen Content

If the shared screen content (e.g., a PowerPoint presentation) is cut off or distorted, change your View Options. On most systems, you can find View Options by moving your mouse up to the top of the screen, though you may find it at the bottom of the screen or off to one side. You may need to move your mouse all the way off the edge of your visible screen to reveal the menu. Open View Options and switch to the available option (either Fit to Window or Original Size will display, depending on your current view). 

Please do not click on Request Remote Control or Annotate unless explicity invited to do so.
